The UPS has an in-depth understanding of the scope of the assigned project,and the Company's contracted obligations and deliverables to the client.
The UPS supports project managers in administrativeaspects of each assigned project, including reporting, record keeping, ensuring projects are adequately staffed, and all assignedresources are adequately equipped, prepared, qualified (trained, licensed, certified), and have what they need to perform thescope accurately and efficiently.
In the absence of the PM, the UPS may provide temporary oversight on the project, but is not adirect supervisor of field staff.
This position is project based, temporary part-to-full time, with a maximum term of the length of the project contract.
The UPS serves as the first point of contact for local project staff and for ATM field employees in regards to safety.
In the absence of a field manager or field safety observer, the UPS serves as the safety first point of contact and provides safety oversight to field staff.
This is a non-union supervisory position.
Up to 20% travel may be required.
Duties (All Levels):
General Maintain excellence in service as a representative of American Tree Medics to the public and project clients, and as a part of the operational leadership team.
Responsible for training new hires in OneVM, Survey123, VMP Create and maintain records related to assigned programs in the document library on the company Sharepoint site.
Weekly review the SP doc library to ensure administrative support personnel or Project Managers and other staff are properly uploading required docs.
Serve as the company point-of-contact in the field for project field personnel.
Support Project Management and Human Resources teams to ensure staff are familiar with and adequately perform project-related protocols.
Support compliance programs, PM and HR to determine if project staff understand and/or conduct their duties and responsibilities in compliance with company CP policies, protocols, tools, documentation, and other CP requirements.
Periodically review and update project training materials related to specific project programs.
Monitor client listservs or distribution lists to be appraised of related topics.
Distribute new information to ATM personnel and departments.
Attend client meetings including weekly safety meeting (PG&E), headcount meeting, weekly division meetings, SVMI and VMI meetings, etc.
Maintain the roster of client department contacts.
Support in-field issues that might arise, regarding project-related access to Sharepoint, email, voicemail, ISN badges and other project-related activities.
Review the library at least weekly to ensure PMs and field managers are uploading docs and data to the library as assigned.
Provide JSAs to project coordinator.
Review project text chain and alert field managers of deviations or missing staff check ins Other duties as assigned.
Compliance & Administration Periodically review ISN to inform project admin staff when ISN badges as needed, training required, etc.
Participate in company compliance committees and other meetings to contribute to the company's annual and semi-annual updates of the sustainability policy and program docs; annual utility compliance assessments, cybersecurity policy and annual reviews; environmental compliance assessments, and ; Return to Work (RTW) and ATW compliance assessments.
Inform managers of non-compliance and ensure the completion of remediation activities.
Contribute to or provide expertise toward development of compliance policies and procedures, and other materials, when requested by agencies or as part of client reviews or requests for proposals.
Maintain and organize the project-level SharePoint document libraries and projects site.
Safety Coordination Conduct or attend and document daily JSAs at least once per week at each location (North/South Las Padres Distribution teams, LP Transmission, San Jose Transmission and San Jose Distribution team).
Develop, coordinate and/or conduct trainings on topics including health and safety, accident prevention, and operation of specialized vehicles and equipment, as directed by the utility (specifically 5-minute meetings).
Topics to be developed based on recommendations of 5mm provided by PG&E, or by specific safety issues arising on ATM teams.
Serve as first point of contact for safety incidents for all PG&E VMI.
When indicated, travel to site of safety incident to conduct incident investigation reports.
Coordinate with Safety Program Manager to investigate, mitigate and resolve issues.
Recommend solutions to issues, improvement opportunities or new prevention measure.
Provide documents to support well-kept safety files and records, archives and document control process.
Support Safety Program Manager in conducting periodic safety surveys and inspections, prepare written reports of findings and recommendations for corrective or preventive measures where indicated and follows up to ensure measures have been implemented.
Order suspension of activities that pose threats to workers' health or safety.
Notify managers of potential safety threats.
Provide support as a backup trainer for project and/or site-specific training.
This may include:
Sharing with HR and archiving rosters and certs; instructing or scheduling instruction of CPR/First Aid training for ATM employees; Conducting emergency drills.
Provide ATM managers and Safety Program manager with a Pre-plan for various emergencies based on locations (Identify Alpha and Bravo locations, nearest hospital locations, etc.
).
Provide information to Safety Program Manager to develop new emergency action plans for each project or new area.
Provide information when requested for the Programmatic Safety Plan (PG&E, SCE) whenever a new project starts or team moves to new area; and annually after committee review.
Serve on the safety committee and review IIPP at least annually for project-related safety updates.
Maintain library of PG&E tailgates and 5mm in Sharepoint.
Distribute or recommend topics for field managers based on active conditions.
Frequently share safety information to all in an impactful and results oriented way.
Other duties as required.
